ClefCert — Privacy Policy

This Privacy Policy describes how Robinson Music Enterprise LLC ("ClefCert," "we," "us," or "our") collects, uses, and protects your information when you use the ClefCert application, website (clefcert.com), and related services (collectively, the "Service").
By using the Service, you agree to the collection and use of information as described in this Policy.
1. Information We Collect
Information you provide directly:
- Account information: name, email address, and password when you create an account
- Payment information: when you subscribe, payment is processed by Stripe, Inc. We do not store your full credit card number on our servers; Stripe handles payment data under its own privacy policy
- Communications: messages you send us for support, feedback, or survey responses
- Waitlist information: email address and signup source if you join our waitlist
Information collected automatically as you use the Service:
- Study performance data: practice question responses, diagnostic scores, domain-level performance, micro-lesson completion, error detection accuracy, audio replay counts, time spent per session, and study streaks
- Usage data: pages visited, features used, session dates and duration
- Device and technical data: browser type, device type, operating system, IP address, and screen size (used for compatibility and troubleshooting)
Information we do NOT collect:
- We do not collect Social Security numbers, government IDs, or certification records
- We do not access your microphone or camera
- We do not collect precise geolocation
2. How We Use Your Information
We use your information to:
- Provide and operate the Service, including generating your personalized study recommendations, micro-lesson routing, and score reports
- Process subscription payments and manage your account
- Communicate with you about your account, Service updates, and (with your consent) product news
- Improve the Service — aggregate, de-identified performance data helps us identify which questions, lessons, and features are most effective
- Maintain security and prevent fraud, abuse, or violations of our Terms of Service
- Comply with legal obligations
We do NOT sell your personal information. We do not share your individual study performance with employers, certification bodies, or educator preparation programs without your explicit consent.
3. Aggregate and De-Identified Data
We may use de-identified, aggregated data — data that cannot reasonably identify you — for purposes such as:
- Reporting overall platform outcomes (e.g., average domain scores, pass rates) in grant applications, research, and marketing
- Improving question quality and lesson content
If you individually consent (for example, agreeing to share your exam outcome with us after testing), we may reference your outcome in anonymized or, with separate written permission, attributed form (e.g., a testimonial).
4. How We Share Information
We share information only with:
- Service providers who help us operate the platform: hosting and database infrastructure, payment processing (Stripe), and email delivery (Resend). These providers access information only as needed to perform their functions and are obligated to protect it.
- Legal requirements: if required by law, subpoena, or to protect the rights, safety, or property of ClefCert, our users, or others.
- Business transfers: if ClefCert or Robinson Music Enterprise LLC is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction. We will notify you of any such change.
Future institutional features: if you join ClefCert through an educator preparation program or institutional license, that institution's administrators may see aggregate cohort data. Individual performance data will only be visible to institutional administrators if that visibility is disclosed to you at signup for that program. This paragraph will be updated before institutional features launch.
5. Data Retention
- Account and study data are retained while your account is active
- If you delete your account, we delete or de-identify your personal information within 90 days, except where retention is required for legal, tax, or dispute-resolution purposes
- Waitlist emails are retained until you unsubscribe or we delete the list
6. Your Rights and Choices
You may:
- Access and update your account information at any time in account settings
- Delete your account and associated personal data by emailing us
- Opt out of marketing emails via the unsubscribe link in any email; transactional emails (receipts, account notices) will still be sent
- Request a copy of the personal data we hold about you by contacting us
If you are a resident of a state with specific privacy laws granting additional rights (such as access, deletion, or correction rights), we will honor requests as required by applicable law. We do not discriminate against users who exercise privacy rights.
7. Children's Privacy
The Service is intended for adults preparing for educator certification. The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. If we learn we have collected personal information from a child under 13, we will delete it promptly.
8. Security
We use reasonable administrative, technical, and physical safeguards to protect your information, including encrypted connections (HTTPS), hashed passwords, and access controls. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you as required by applicable law.
9. Cookies and Tracking
The Service uses cookies and similar technologies for essential functions (keeping you logged in, remembering preferences) and basic analytics (understanding how the Service is used). We do not use third-party advertising cookies or cross-site tracking for ads. You can control cookies through your browser settings; disabling essential cookies may prevent the Service from functioning.
10. Third-Party Links
The Service may link to third-party sites (for example, TEA's exam registration site). We are not responsible for the privacy practices of those sites.
11. Changes to This Policy
We may update this Policy from time to time. We will notify you of material changes by email or in-app notice, and update the "Last Updated" date above. Continued use of the Service after changes take effect constitutes acceptance.
